As a Assistant Office Manager, you’ll be a key leader supporting smooth, efficient operations across 5+ practices in Brooklyn and Queens. You’ll directly shape the performance of our front office teams, ensuring patients feel welcomed and providers can focus on delivering quality care.
🦷 What You’ll Do
✔ Support the Office Manager in overseeing daily administrative operations across multiple practices.
✔ Supervise, train, and mentor front office staff—including receptionists, schedulers, and billing specialists—to ensure top-tier performance.
✔ Manage patient scheduling systems to maximize provider efficiency and minimize wait times.
✔ Handle patient escalations with professionalism and a patient-first approach.
✔ Assist with hiring, onboarding, and performance evaluations to foster a positive and productive workplace culture.
✔ Collaborate with leadership to streamline workflows, improve efficiency, and enhance patient satisfaction.
✔ Oversee inventory and supplies across multiple locations, keeping offices organized and well-equipped.
✔ Use dental practice management software (Dentrix Ascend) for records, reporting, and financial oversight.
✔ Contribute to marketing and patient outreach initiatives that drive practice growth.
🌟 What We’re Looking For
✔ 3–5+ years of experience in dental office management or senior administration.
✔ Strong knowledge of front office operations, including scheduling, insurance verification, and billing.
✔ Experience with dental software (Dentrix Ascend, Open Dental, or Eaglesoft preferred).
✔ Proven leadership skills in supervising, mentoring, and training staff.
✔ Ability to oversee multiple locations and high-volume patient flow with efficiency and professionalism.
✔ Excellent multitasking, organizational, and prioritization skills in a fast-paced setting.
✔ Strong communication and conflict-resolution abilities.
✔ In-depth understanding of HIPAA, OSHA, and regulatory compliance standards.
